Q: Are there any special instructions to access the meeting
A: No, each attendee will access the meeting from the convention website by clicking on “join session” in their agenda. The BAV tech assigned to each session will assign the “presenter” vs “attendees”.
Q: Will we have a practice session with BAV prior to the convention date?
A: Yes, there will be dress rehearsals in the days leading up to the convention.
Q: What is the responsibility of the Sergeant-at-Arms?
A: Whatever the presenters need her to be. Typically, we see the SAA handling the Q&A and/or survey poles during the meeting so the presenter can focus on their presentation.
Q: Will the BAV tech help with getting attendees into the various breakout rooms the day of the session?
A: Yes. They can do it or the “host” will have the ability to as well.
Q: Will the BAV tech be available to help with sharing the screen the day of the presentation?
A: Yes. BAV can help with sharing the screen or share the slides themselves if the presenter is not comfortable doing it. You can also have the SAA help with the slides as well. The person handling the slides will also need a copy of the script prior to the meeting in order to follow along with the slides.
Q: Does the BAV tech need the names of the participants in order to assign breakout rooms?

A: The day of the presentation.
Q: Can the chat box be turned off during the recorded portion of the presentation?
Q: How does the SAA get control of the Q&A box?
A: They will be provided a separate link with the questions that they will be able to read. As separate training is happening for the SAA so they will be familiar with this setup.
Q: Can 4 people be on the screen at the same time during the live Q&A time?
Q: Can we log into the session (Zoom or Webcast) early?
A: Yes, the BAV tech will be there 15-30 minutes prior to the start time.
